How to use this calculator

  1. Tick each job your church or ministry pays a tool to do. If one tool does several jobs, enter its cost once and leave the others at $0.
  2. Enter the monthly cost. For annual plans, divide the yearly price by 12.
  3. Enter how many people on your team have a login to that tool — staff and volunteers.
  4. Estimate the hours each week someone spends moving information between tools.

What the numbers mean

Cost per year is what your stack takes from your budget before anyone is served. Logins to manage is every account someone has to create, remember, secure and remove when a volunteer steps back — each one is a small security and admin burden. Hours moving data is time that could have gone to people.
